Terms of Service

Effective date: May 2, 2026

These Terms of Service ("Terms") govern your access to and use of the Credentialing Agents service operated by One Wolf, Inc. ("Wolf," "we," "us," "our"), including our web application, APIs, SMS notifications, and related services (collectively, the "Service"). By creating an account or using the Service, you agree to these Terms. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to these Terms.

1. The Service

Credentialing Agents is the software service that handles your end-to-end credentialing — collecting documents, scheduling required screenings, verifying licenses, and tracking the status of credentialing tasks on your behalf. The Service operates inside a workspace configured by a workspace administrator (the healthcare organization or facility that engaged Credentialing Agents to credential you), which controls how the Service is set up for you and what information is collected.

2. SMS notifications program

Program name. Credentialing Agents Notifications.

Brand and operator. The program is operated by One Wolf, Inc. d/b/a Credentialing Agents.

Use case. Account Notification — operational, transactional messages related to a clinician's own credentialing file. The program is not used for marketing, promotion, lead generation, affiliate distribution, or the delivery of protected health information ("PHI"). Recipients are healthcare professionals (clinicians) being credentialed through a workspace on the Service; recipients are not patients.

Message content. The program sends:

  • Reminders to upload missing credentialing documents (e.g., BLS card, license copies, immunization records).
  • Scheduling links for required lab tests, drug screens, and physicals.
  • Status updates about background checks, license verifications, and assignments.
  • Deadline reminders for accepted assignments.
  • Follow-ups in response to inbound questions you send us.

Frequency. Message frequency varies based on your active assignments and outstanding credentialing tasks. Most users receive a few messages per week during an active credentialing period and far fewer at other times.

Message and data rates. Message and data rates may apply. Rates are set by your mobile carrier; we do not charge you for messages.

How you opt in. Wolf sends you SMS only after you provide express written, opt-in consent. Opt-in is collected on the profile page in the Service by checking an unchecked checkbox next to your mobile number. The disclosure shown next to that checkbox at the point of opt-in is:

"By checking this box and providing my mobile number, I consent to receive transactional SMS messages from Credentialing Agents (operated by One Wolf, Inc.) regarding my credentialing tasks, document requests, scheduling, and assignment status. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. See our Privacy Policy and Terms of Service."

Consent is logged with the timestamp, IP address, user agent, and the verbatim disclosure shown. Consent is not a condition of any purchase, employment, or assignment.

How to opt out. Reply STOP to any text from us at any time. We also recognize STOPALL, UNSUBSCRIBE, CANCEL, END, and QUIT. Opt-outs take effect immediately across all of our sender phone numbers, and we update your profile to reflect that you have opted out. You can also turn SMS off in your profile settings at any time.

How to get help. Reply HELP to any of our texts, or contact us using the details in Section 12.

No PHI over SMS. SMS is not an end-to-end encrypted channel. We do not transmit protected health information, lab results, diagnoses, or sensitive patient data via SMS. Sensitive content is delivered through the authenticated Service portal.

Mobile information sharing. No mobile information — including your mobile phone number, opt-in status, opt-in data, and SMS consent — will be shared with any third parties or affiliates for marketing or promotional purposes. The categories of information described elsewhere in these Terms or the Privacy Policy that may be shared with third parties or affiliates exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties. We do not sell, rent, lease, trade, or otherwise transfer mobile opt-in data to lead generators, data brokers, advertising networks, or any other third party. Disclosure to subcontracted service providers (e.g., our SMS carrier and aggregator) is limited to what is necessary to deliver the messages you have requested.

Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages.

3. Account registration and security

You must provide accurate registration information and keep it current. You are responsible for safeguarding your credentials and for all activity that occurs under your account. Notify us promptly of any unauthorized use of your account or any other security incident you discover.

4. Acceptable use

You agree not to:

  • Use the Service to violate any law, regulation, or third-party right.
  • Upload information that is false, misleading, or that you do not have the right to share.
  • Attempt to access another user's account, data, or workspace without authorization.
  • Interfere with the Service's operation, probe for vulnerabilities outside an authorized program, or evade rate limits.
  • Reverse engineer, decompile, or scrape the Service except where expressly permitted by law or by us in writing.
  • Send unsolicited commercial messages or otherwise abuse the SMS or email channels.
  • Use the Service or its messaging channels for marketing, promotion, lead generation, affiliate distribution, political campaigning, fundraising, or any prohibited content under the carriers' or CTIA messaging principles (e.g., SHAFT-C content: sex, hate, alcohol, firearms, tobacco, cannabis).
  • Resell, sublicense, share, or transfer SMS opt-in data, consent records, or recipient phone numbers collected through the Service to any third party.

5. Workspace administrators and your data

When a workspace administrator (the healthcare organization or facility that engaged Credentialing Agents to credential you) is the customer of record, the administrator controls account configuration, who has access to credentialing data, what documents are collected, and how long records are retained. Credentialing Agents processes that information on the administrator's instructions, subject to our Privacy Policy.

6. Privacy

Our Privacy Policy describes the personal information we collect, how we use it, who we share it with, and the choices you have. By using the Service, you acknowledge that you have read it.

7. Intellectual property

The Service, including its software, content, and trademarks, is owned by Wolf and our licensors and is protected by intellectual-property laws. Subject to these Terms, we grant you a limited, revocable, non-exclusive, non-transferable license to use the Service for its intended purpose. You retain rights to information you upload, and you grant us a license to host, process, transmit, and display that information solely as needed to provide the Service.

8. Third-party services

The Service integrates with third-party providers (e.g., Twilio, Nylas, AWS, OpenAI, Sentry, and credentialing vendors) to deliver functionality. Your use of those third-party services is governed by their own terms. We are not responsible for third-party services' acts, omissions, or content.

9. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, WOLF DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE, OR THAT INFORMATION OBTAINED THROUGH THE SERVICE WILL BE ACCURATE OR RELIABLE FOR YOUR PURPOSES. CREDENTIALING DECISIONS REMAIN THE RESPONSIBILITY OF THE WORKSPACE ADMINISTRATOR.

10. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WOLF AND ITS AFFILIATES, OFFICERS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR FOR ANY LOSS OF DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR RELATED TO YOUR USE OF, OR INABILITY TO USE, THE SERVICE. OUR AGGREGATE LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATED TO THESE TERMS WILL NOT EXCEED THE AMOUNTS YOU PAID US (IF ANY) IN THE TWELVE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM.

11. Termination

You may stop using the Service at any time. We may suspend or terminate your access if you violate these Terms, if your workspace administrator removes you, or as required by law. Sections that by their nature should survive termination (including ownership, disclaimers, limitations of liability, and dispute resolution) will survive.

13. Governing law and disputes

These Terms are governed by the laws of the State of Delaware, without regard to its conflict-of-laws rules. Any disputes will be resolved in the state or federal courts located in Delaware, and you and Wolf consent to the personal jurisdiction of those courts. If your jurisdiction prohibits this choice of law or forum, the laws and courts of your home jurisdiction will apply to the extent required.

14. Changes

We may update these Terms from time to time. The "Effective date" at the top reflects the most recent version. Material changes will be communicated through the Service or by email. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
